The purpose and role of the Executive Assistant is to ensure the smooth running of the day-to-day operations of the Executive Office and the Administration department.

SoftwareMS Office Suite (Word, Excel, PowerPoint)
Skills ToDependable with a respect to confidentiality and policies. Excellent organizational skills. Good command of English both oral and written.
Ability ToMultitasking and time-management skills, with the ability to prioritize tasks. Good customer service attitude. Great attention to detail.
Other RequirementsMembership to the Zambia Institute of Purchasing and Supply is an added advantage.
Requirements
  • Coordinating management reports for the CEO and CFO to be discussed in monthly management committee meetings.
  • Working with the CEO on special projects such as a new business plan, new company branding, and handling of confidential information.
  • Being Secretary of the relevant Management Committees to draft minutes and create action plans.
  • Managing the CEO’s calendar by ensuring that meetings are effectively set for efficient coordination
  • Collection of information from management team to produce the monthly and quarterly CEO report that is forwarded to the board for updates on the business.
  • Contract management of various agreements. This includes all branch lease agreements, security services, cleaning services, and all other relevant administrative related contracts.
  • Spearheading the relocation of company branches from town to town when the need arises, or leading the opening of a new branch when there is growth
  • Office management and maintenance including repair and replacement of office assets, building fixtures, security controls, office stationery and consumables.
  • Spearheading all company procurement to ensure compliance in the procurement process according to company policy. This includes managing the procurement process for vehicles, office equipment, office maintenance, branded materials and stationery.
  • Assessing the supply market for products and services with respect to price and quality.
  • Resolving value/quality discrepancies of the supplied items through formal supplier complaints and following up on feedback.
  • Ensuring payment/prepayments (if terms require so) are done to suppliers.
  • Maintaining records of purchases, reports and the supplier database.
