Our client, an established office equipment supplier is looking for a temporary receptionist to manage their front desk operations on a daily basis and to perform a variety of administrative and clerical tasks.

  • Operates the main phone line to answer, screen and forward calls or take messages for all staff located in the Lusaka facility.
  • Greets visitors entering the facility determines nature and purpose of visit and notifies employees that their guests have arrived
  • Arranges and coordinates teas ,water and coffee for meetings
  • Ensures meeting rooms are well coordinated to avoid meeting clashes etc.
  • Arranges and coordinates domestic travel schedules and reservations for staff visiting Lusaka office.
  • Makes rental car arrangements for guests and visiting staff.
  • Processes and prepares all outgoing mail, i.e. readies the mail for pick-up by McSpeedy and DHL on a daily basis
  • Distributes all incoming mail on a daily basis
  • Processes purchase orders and ensure all purchase orders are authorized in compliance with company policies
  • Places purchase orders and ensures timely delivery of goods and services,maintain receipts in BaaN and checks invoices before submitting to Accounts department.
  • Orders and maintains office supplies such as groceries/stationary/meals/PPE/office furniture
  • Supervises the cleaner and make sure the office and surroundings are kept clean
  • General Management of the office premises to ensure breakages, electricalfaults, plumbing and any office enhancements are communicated to the Landlord promptly.
  • Arrange for pre – employment medicals for new staff in Lusaka
  • Arrange for accommodation and purchase orders for staff and visitors
